When I plan my travel itinerary and adventures, whether in Italy or abroad, the creation phase is one of my favorite parts but also the most tricky and difficult one. …I always fear forgetting something!
This is the moment when I start imagining the experiences I am planning one after another. As my curiosity grows exponentially, it feels as if I have already arrived at my destination!
Especially when time at the travel destination is limited, putting an itinerary down on paper allows me to plan visits in their entirety, with all the details, and then fully enjoy the trip. Once on-site, everything is already prepared, and all that’s left to do is savor the experience.
In this article, I want to share with you some tips and guide you step by step to create your own tailor-made travel itinerary, making the most of technology and the internet to organize yourself efficiently and smartly!

Find Inspiration Online
The first step in organizing an effective travel itinerary is finding inspiration, and the web is an inexhaustible source of it!
Explore travel websites, blogs, and social media channels dedicated to travelers. Platforms like Instagram, Pinterest, and YouTube are full of photos and videos showcasing countless (if not all) places to visit in Italy and around the world.
Personally, I constantly browse through different travel blogs and treasure their valuable advice! In this initial phase, it’s important to jot down the places you would like to visit.
Now, with the list in hand, it’s time to evaluate whether the destination is economically feasible based on flight prices or distance and how much time is needed to visit it. Is it a city accessible by car, train, or plane? How far is it? Are there any flight deals for this destination?
Would a weekend be enough, or do you need an entire week to enjoy it?
At this stage, consider how much time it will take to visit it leisurely, without having to rush from one attraction to another once you arrive… after all, it’s supposed to be a relaxing moment!
Detailed Destination Research
Once you have identified a destination that has caught your interest, it’s time to conduct detailed research. Use Google Maps to explore the area and discover the main points of interest, tourist attractions, restaurants, and available accommodations with their prices.
Read reviews and look at photos to get a clearer idea of what to expect upon arrival!
For a few years now, I’ve been marking many pins on my Google Maps. I use it when creating itineraries to mark the tourist attractions of the place I’m about to visit, so I have an idea of their location and can easily proceed with the next steps in planning the trip.
I also suggest noting down the opening hours of various places and checking if some attractions require entrance tickets or reservations.

Choosing Accommodation
To plan an effective travel itinerary, I believe it is essential to choose accommodation that is close to some of the tourist attractions I want to visit.
I often search on Booking.com for accommodations in specific areas to facilitate local transportation. I prefer walking or using the metro, and a hotel near the historic center allows me more flexibility with transport.
The key factor is always the price. Some cities make this possible, like Seville, where I stayed in a beautiful hotel in the heart of the city with a rooftop pool. Others are much more expensive, where staying in a very touristy area is unaffordable.
In that case, I try to find the best deal on Airbnb or choose a less touristy but well-connected area.


Drafting the Travel Calendar
Divide the places of interest into “must-see” and “optional.”
Must-See Places
Now, with the list of must-see places in hand, it will be easier to create a proper travel calendar, organizing everything day by day based on opening hours or routes, listing stops in the order of visit. This step is particularly useful when some activities are available only on specific days or times. This way, you’ll know where to start and what to prioritize.
Optional or Backup Places
For optional places, I recommend creating a separate list. Sometimes, you may have extra time during your trip, and having a plan B can be a great idea!
Plan your day to maximize time and minimize travel. You can use Google Maps to create an efficient route that allows you to visit all the attractions you want.
Write everything down in detail on a Word or Excel file. Or, if you’re like me and still love paper, jot your itinerary down in a notebook to take with you on your trip.
Make sure to include some free time to explore spontaneously and improvise a little!
Remember, you don’t need to fill every moment of your trip with planned activities; often, the most memorable experiences happen when you allow yourself to wander aimlessly.
Reservations and “Skip the Line” Tickets
This is a step I highly recommend for better organization. After drafting the travel calendar, the next step is booking museum tickets to avoid wasting time in line once you get there.
I rely both on the official museum websites and on the Get your guide portal, where I often find great last-minute activities to add to my itinerary.
For my trip to Vienna, after booking tickets for Mozart’s House, the Freud Museum, the Hofburg, and the Belvedere, I found the opportunity to take a mini-cruise on the Danube through Get Your Guide, which I loved!
At the last moment, I booked it and added it to my planning! It turned out to be a great idea!
Many museums, being extremely crowded, allow you to schedule your visit not only on your chosen date but also at a specific time. This lets you add precise timings to your travel calendar.



Share Your Plan on Social Media
Social networks can play a crucial role in your travel planning. Share your itinerary and expectations with friends and followers online.
To help you organize the best travel itinerary possible, ask for advice from people who have already been to your destination, just like I did in Lisbon.
When I arrived, I had a packed schedule but one completely free day. Through Instagram stories, I asked for recommendations on must-see places and discovered the best place to buy and eat Pasteis de Nata and an amazing neighborhood between the center and Belem that I would have otherwise missed!

Finally, don’t forget to enjoy every moment of your journey. Let yourself be carried away by emotions, savor local flavors, meet new people, and create memories that will last forever.
